Information you give us directly. Your name, email address, phone number, mailing address, stay dates, number of guests, room preferences, and any special requests. If you inquire about a wedding or private event, we also collect the event type, preferred date, and expected guest count.
Reservation and payment information. Reservations and payment are processed through our third-party reservations system, InnQuest / roomMaster. Payment card details are entered into and processed by that system.
Information collected automatically. Your IP address, device and browser type, the pages you view, the site or search that referred you, and an approximate location based on your IP address.
3. How we collect it
- Forms on our website — contact, wedding, and private-event inquiry forms.
- Our reservations system — when you book a stay.
- By phone or email — when you call or write to us directly.
- Cookies and analytics tools — automatically as you browse the site.
4. Cookies, analytics, and advertising technologies
Our website uses the following, each of which sets cookies or similar identifiers:
- Google Analytics 4 — measures how visitors use the site.
- Google Ads — measures which ads lead to reservations and inquiries, and supports remarketing.
- Google Tag Manager — the container that manages the tools above.
- Meta (Facebook and Instagram) Pixel — advertising measurement and audience building.
- Microsoft Clarity — records how visitors move through pages so we can improve the site.
- UserWay — our website accessibility widget.
Your choices. Most browsers let you block or delete cookies through their settings. You can opt out of Google Analytics using Google's browser add-on, and adjust ad personalization in your Google and Meta account settings.
We and selected third parties use cookies or similar technologies for technical purposes and, with your consent, for other purposes as specified in the cookie policy.

- To take, confirm, and manage your reservation, and to prepare for your stay.
- To respond to wedding, private-event, and marina inquiries.
- To send booking confirmations and pre-arrival information.
- To send marketing and promotional email where you have asked to receive it.
- To measure and improve our advertising.
- To improve the website, keep it secure, and prevent fraud.
- To meet legal, tax, and regulatory obligations.
6. How we share it — and what we don't do
We share personal information only with trusted service providers and other parties as reasonably necessary to operate, improve, and market our services, including InnQuest / roomMaster (reservations and payment processing); Google (website analytics and advertising); Meta (advertising on Facebook and Instagram); Microsoft (website usage and session analytics); Constant Contact (email marketing and newsletters); professional advisors; and government authorities or other parties when required by law or legal process.
We do not sell personal information for monetary consideration. Our website may use third-party analytics, cookies, and advertising technologies that collect information about website activity to help us understand how visitors use our website and to deliver or measure advertising.
7. How long we keep it
- Reservation records: kept for seven or more years for accounting, tax, and guest-history purposes.
- Wedding and event inquiries: kept while the inquiry is active and for 6 months or more afterward for data collection.
- Marketing contacts: kept until you unsubscribe.
- Website analytics data: retained according to the provider's standard retention period.
8. How we protect it
We use reasonable administrative, technical, and physical safeguards, and we limit access to staff who need it to do their jobs. Payment card data is handled by our reservations provider rather than stored on our website. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we take it seriously and act quickly if something goes wrong.
9. Your rights, and how to make a request
You can ask us to access the personal information we hold about you; correct anything wrong or out of date; delete your information, subject to records we are required to keep for legal, tax, or accounting reasons; or stop sending marketing email (use the unsubscribe link in any message, or just ask).
To make a request, email gm@coconutpalminn.com or call (305) 852-3017. We'll confirm we received it and respond within 3 business days. We may need to verify your identity first, usually by confirming details of a reservation. We will not treat you differently for exercising any of these rights.
10. Children's privacy
Our website and online services are not directed to children under 13, and we do not knowingly collect personal information from them online. Families are very welcome at the property — this section is only about collecting information from children directly through the website. If you believe a child has given us information online, contact us and we'll delete it.
11. California residents
California residents may have additional rights regarding their personal information under applicable California privacy laws.
